Summary
Club Updates and Developments
- The Japanese restaurant is planned to open in November.
- Esme’s (event space for 12 people) has been approved for use by Landlord, with service and menu planning starting once all building works and other compliances finalised.
- The Italian and Spanish areas are scheduled to open on March 27th and early April, respectively, depending on weather conditions.
- The Sun-Pavilion is fully booked, but no major upcoming events are currently planned.
Membership Update and Previous Action Items
- Member recruitment continues strongly, slowing slightly due to current physical capacity limitations but remains ongoing.
- Tree removal and replacement efforts continue, with a risk assessment and method statement received. Final date for removal and replacement still tbc.
- CCTV/recorded footage from recent incidents (7th December 2024) has been taken by KSRA. TRG have asked if that can be shared for further review to see if matches can be made against a member or guest. TRG has received no reply to date on the request.
- Recent incidents added to the KSRA Formal Complaint Document include various observations from 7th December 2024 (see above point), and a 3am music complaint on New Years Eve.
- TRG also noted that a resident complained that their taxi was not allowed to travel to the end of Derry St. at 1am in the morning on NYE. The taxi was asked to turn early and drop off closer to Ken High St. The resident stated in their complaint that it is M&S lorries that need to be stopped from stopping at the end of Derry St, not cars.
Delivery Logistics
- Concerns were raised about M&S deliveries causing Derry St and Service Road congestion. TRG said that they would pass the concerns on to the Landlords agent (Avison Young) but underlined it does not fall directly under TRG operational controls.
- TRG noted that generally AY are being stricter with all tenants on all delivery timings and enforcement of the operating hours. This has also impacted TRG event logistics.
- AY have also said they are making efforts to schedule M&S deliveries earlier to reduce congestion, but challenges remain.
- TRG’s Sunday laundry deliveries have been halted now to help minimise noise outside of the loading bay operating hours.
Parking App and Statistics
- Since December, the parking app has seen 6,800 data captures.
- 1,507 number plates are in the database.
- Parking violations have led to 173 warnings in total, 8 final warnings, and 1 termination.
- The app now tracks members’ guests more effectively, leading partly to the increase on December/January reporting as more accurate monitoring and follow-up enforcement warnings.
- Increased focus on ensuring members understand parking rules and their consequences. Comms has recently gone out to all members from the membership manager with an 81% opening rate.
Security and Operational Procedures
- The transition from agency to in-house SIA staff continues, with the aim for more team stability, improved training and supervision and better operational procedures.
- Ongoing improvements continue with the parking app – include enhanced AI learning on number plate recognition, data capture and integration with the membership database.

Action Items
- Circulate a separate summary of parking statistics and updates with the minutes from this meeting.
- SIA patrol route – now final & agreed and to be circulated and shared with the police and council.
- Explore the possibility of adding a geo-fencing feature to the Bolt taxi app, like the current Uber functionality.
- Send out calendar meeting invitations for 2025 sessions.
